At many gyms, reception is the busiest place at 7 pm. Members queue to sign a paper register, staff search for names in a notebook, and nobody notices that half the memberships expired last week. QR check-in fixes this in seconds.
In this article we explain how QR check-in works in gym management software, using MasterGym as an example, and why it helps gym owners keep more members and collect more payments.

What is QR check-in?
QR check-in replaces the paper register. Instead of writing their name, members check in with a QR code. The software records who came in and when, and instantly shows whether their membership is active.
How QR check-in works in MasterGym
MasterGym supports two simple ways to check in:
- Members scan the gym’s QR code with their own phone. You print a QR poster and put it at the entrance. Check-in only works at the gym, so members cannot check in from home.
- Reception scans the member’s card. Every member can get a printed ID card with their photo and a QR code. Reception scans it and sees the member’s face and membership status on screen.
Either way, the check-in is saved automatically and appears in your attendance reports.
5 benefits of QR check-in for gym owners
1. No more queues at reception
A scan takes a second. Even at peak hours, members walk in without waiting.
2. You see expired memberships immediately
When a member with an expired plan checks in, you know straight away and can renew on the spot instead of losing that payment.
3. Real attendance data
See today’s check-ins, your busiest hours and which members have stopped coming. Members who stop coming are often the next ones to cancel, so you can contact them early.
4. No shared or borrowed memberships
With a photo shown at reception for every check-in, it is much harder for someone to use another member’s card.
5. Less paperwork for staff
Staff spend their time helping members instead of searching through registers and spreadsheets.
